Welcome to the Summer 2025 Edition of the West Deployment Team Newsletter for health professionals in the West Region! 

Our West Deployment Team supports the deployment of eConsult in South West and Waterloo Wellington, and eReferral across South West, Waterloo Wellington, Hamilton Niagara Haldimand Brant, and Erie St. Clair.

It has been three months since the name ‘Amplify Care’ was chosen to better reflect our organization’s commitment to amplify clinician voices in digital health!  We promise to continue providing support to healthcare professionals with digital health solutions that benefit them and their patients.

    eReferral Onboarding Pause

    Amplify Care is currently working with Ontario Health to develop and ensure a more sustainable long-term provincial plan for eReferral that is in alignment with the provincial ‘Patients Before Paperwork’ strategy.  More information can be found here: https://www.ontariohealth.ca/digital/innovations  

    To that end, Ontario Health initiated a public procurement through a Request for Proposal for Vendor(s) of Record to provide eReferral Management Solution(s). The last phase of this process is underway. As a result, onboarding to eReferral is currently ‘paused’ and new eReferral Users (both Senders and Receivers) cannot be onboarded until this process is complete.   

    If you are already set up with eReferral and need support or additional training, please reach out to your Change Management Specialist, or email westregion@amplifycare.com.  

    If you are interested in onboarding to eReferral (as a Sender, Receiver, or both), as part of the provincial program, you are encouraged to complete the following form: ​Ontario Health eReferral Expression of Interest (EOI) Form​.

    NEW! eReferral Autofill Form Templates

    As of June 26, 2025, Ocean now allows users to save frequently used eReferral requests as templates that can be applied to future eReferral forms with just a click!  These autofill templates eliminate the repetitive process of manually completing commonly used forms.  

    This new feature supports standardized entries for diagnostic imaging requisitions, rapid entry for common specialist referrals, and allows the re-use of any common answers that users tend to provide.   

    Autofill templates offer numerous opportunities to simplify and streamline eReferral workflows. As an example, a Primary Care Clinician may create a template to streamline sending chest x-ray requisitions to their local hospital.   

    The image to the below demonstrates the creation of a chest x-ray template.  When this template is selected in the future, the saved fields (indicated by green arrows) will be automatically populated.   

    Similarly, an Internal Medicine specialist may choose to create an Autofill template for sending electrocardiogram eReferral requests. Users can create templates that are private to them or choose to share with colleagues who are also users on the same Ocean site.

    Update: New Archival Rules for eReferrals

    As of July 18, 2025, updates have been made to the archiving logic of eReferrals in Ocean.   

    Ocean eReferrals were previously stored for 12 months after the referral was initiated (with some exceptions based on the referral status).  eReferrals will now be stored in Ocean indefinitely until they reach a terminal state (Completed, Cancelled, Declined or Externally Managed).  This new change will allow for enhanced archiving control. 

    Deletion warnings will now only occur for Cancelled and Declined referrals that are about to be archived.  For eReferrals/eConsults that have been marked as Completed and that meet more than one of the archiving criteria, the exact date of archive will be visible in the Event Log (which can be accessed through the Action Menu).

    Coming Soon for Ocean Sites Integrated with Telus PS Suite

    An updated Custom Form will be available at the end of August for clinicians who send eReferrals and/or eConsults through TELUS PS Suite integrated with Ocean.  

    Some TELUS PS Suite users have experienced an issue with information not populating properly into the patient chart in instances where two or more eReferrals/eConsults were sent on the same day for the same patient.   

    An updated Ocean eReferral Custom Form is anticipated to be released on August 29, 2025.  TELUS PS Suite users are encouraged to navigate to OceanMD’s website to the TELUS PS Suite Integration Set-Up page to download and find instructions on how to update the new Custom Form.

    The eConsult Centre of Excellence has added a new page to their website so that clinicians can have easier access to the BASE groups available in their regions.

    New! Updated Osteoporosis EMR Tool

    Amplify Care is excited to announce the release of our updated Osteoporosis Assessment Tool, now compatible with TELUS PS Suite, OSCAR Pro, and Accuro QHR EMRs. This tool is free to download from our website, with implementation support also available from our team. 

    Developed in collaboration with Osteoporosis Canada and aligned with the 2024 clinical guidelines, this EMR-integrated tool supports evidence-based assessment and management of Osteoporosis. It features a main form with links to clinical resources and guidance, helping clinicians to deliver proactive, standardized care. 

    Osteoporosis is a silent disease that often goes undetected until a fracture occurs, commonly in the hip, spine, or wrist. This tool helps clinicians identify at-risk patients and document care in accordance with best practices.

    Amplifying Clinical Perspectives: Shaping the Future of AI Scribes in Primary Care

    Amplify Care, in collaboration with Doctors of BC and under the oversight of Canada Health Infoway, recently led an evaluation of AI scribes in British Columbia to understand their real impact on physician workflow. 

    What we learned from over 7,000 appointments using an AI scribe: 

    • Family physicians saved an average of 2.7 hours/week in documentation time 
    • There were greater time savings with EMR-integrated tools  
    • Most physicians said the tools helped them feel more focused and less burned out  
    • Consultant specialists also reported less cognitive burden  
    • 98% of patients were comfortable with the technology  

     The biggest takeaway was that clinician feedback is essential to making AI tools work in real practice.
